TenancyTrail Privacy Policy
Last updated: 2 October 2026
TenancyTrail is an app made by Charlie Kickham ("we", "us"). This policy explains what happens to information you put into it.
In short
- We never receive your information. TenancyTrail has no servers, no accounts and no sign-in. We can't see, access, recover or hand over anything you record.
- Your records are kept on your device and, if you choose, in your own iCloud account, which Apple provides.
- There is no analytics, advertising, tracking or crash reporting in the app. We don't sell or share data, because we don't have any.
Where your information is kept
| What | Where | Who can see it |
|---|---|---|
| Your profile (name, role and, if you add them, email and phone) | Your device | You |
| Tenancies, issues, tasks, notes, rent reviews, inspections, documents and photos | Your device. If iCloud backup is on (it's on unless you turn it off), a copy in your private iCloud. | You |
| Tenants' ID check notes and references, and in Ireland their PPS numbers | Your device only. Encrypted, locked behind Face ID, Touch ID or your passcode, and never backed up to iCloud or included in device backups. | You |
| Homes you share: issues, messages, photos and attachments | Your iCloud account, shared through Apple only with the people you invite | You and the people you invite |
iCloud backup
A copy of your records is saved to the private part of your own iCloud account, so a new or replacement device can restore them. Only you can access it. We can't. You can turn it off in Your profile → iCloud backup. Turning it off stops new backups. To delete the existing backup, go to Settings → [your name] → iCloud → Manage Storage on your iPhone or iPad.
Sharing a home
When you invite someone to a shared home, Apple's iCloud delivers the shared issues, messages and attachments to them. Anything you mark Keep it to myself isn't shared. When you stop sharing, the people you invited lose access and the shared copy is removed from iCloud. When you leave someone else's shared home, you lose access to it. Anything the other person already saved or exported themselves is outside TenancyTrail's control.
Notifications
Task reminders are created on your device. Alerts for shared homes are sent by Apple and contain only a general message ("There's a new update in a shared home"), never names, addresses or details.
Exporting and sending
If you export a record (for example an evidence pack or a letter) and send it by email, AirDrop or another app, that copy is handled by whichever service you choose to send it with.
Subscriptions
TenancyTrail Pro is bought through Apple. Apple handles the payment and your payment details; we don't receive them. The app only asks Apple whether a subscription is active.
Apple
iCloud and notifications are provided by Apple, and Apple's privacy policy applies to them: https://www.apple.com/legal/privacy/
Deleting your information
- A tenancy: delete it in the app. This removes it from your device and, at the next backup, from your iCloud backup.
- Everything on your device: delete the app.
- Your iCloud backup: go to Settings → [your name] → iCloud → Manage Storage.
- A shared home you created: stop sharing it in the app.
Landlords and agents: your responsibilities
When you record information about tenants, you decide what is recorded and why, so under GDPR you are the data controller for that information. We are not, because it never reaches us. In particular:
- In Ireland, keep a tenant's PPS number only for registering the tenancy with the RTB, ask for it only once the tenancy is agreed, and delete it once registration is done.
- Look at ID. Don't keep copies. TenancyTrail records only that you saw it, who saw it and when.
- Tell your tenants what you keep and why. A template notice is available on request.
- Keep only what you need, and delete it when you no longer need it.
Where you are
TenancyTrail can be used in any country. Outside Ireland, the app shows amounts in your local currency and doesn't include local renting rules. The data protection law where you live applies to the information you record; in the EU and UK that is the GDPR.
Children
TenancyTrail is not intended for anyone under 18.
Your rights
Because we don't hold any of your information, we have nothing to give you access to, correct or delete. You do all of this in the app, on your device and in your iCloud account. If a landlord or agent holds information about you in TenancyTrail, contact them directly. They are responsible for it. You can also complain to the Data Protection Commission: https://www.dataprotection.ie

If the way TenancyTrail handles information changes, we'll update this page and the date at the top before that version of the app is released.
